ADMINISTRATIVE ASSISTANT, FLEET OPERATIONS Little River    The Opportunity We are looking for a detail-oriented administrative professional to join our Fleet Operations team! As part of this dynamic results-driven team, you provide high-level, efficient and confidential administrative support to the Marine Superintendent, North and the Fleet Operations Team.   The role Reporting to the Marine Superintendent, North, you add value and are excited by key areas of oversight such as: - Supporting the office of the Marine Superintendent, North Coast in all aspects of the efficient operation of the department and other managers as requested - Exercising good judgment in determining emergent issues and alerting the Marine Superintendent accordingly - Determining the nature and scope of key issues and concerns, prioritizing and managing daily demands using sound judgements and decision-making - Providing advice and administrative assistance to the Masters - Arranging meetings, preparing agendas and information packages; recording and distributing minutes and bringing forward pertinent issues; conducting follow up to verify the prompt implementation of agreed-upon courses of action - Maintaining/coordinating calendars, scheduling meetings, travel and accommodation - Maintaining confidential files, documents and records - Coding and verifying invoices, resolving discrepancies, and recommending payment - Providing budgetary assistance by issuing, processing and tracking purchase orders; verifying and processing invoices and monthly variance reporting; assisting the Marine Superintendent with the yearly budget build - Assisting the Marine Superintendent with approving expenses - Monitoring, approving and submitting EZLabour for all Exempt Masters in the region - Processing sea time requests and documentation for crew with respect to certificates and/or renewal of certificates    What you bring to the team You take initiative, have strong organizational skills and operate with a high degree of professionalism. You have great communication skills and maintain strong relationships with both internal and external stakeholders. You bring 3-5 years in administrative support roles and are proficient in relevant office applications.    Additional training in office administration is considered an asset. ADMINISTRATIVE ASSISTANT, LABOUR RELATIONS & PEOPLE EXPERIENCE Victoria   The Role Reporting to the Executive Director, Labour Relations, while also supporting the Executive Director, People Experience, the Administrative Assistant provides a wide range of administrative support services to the Labour Relations & People Experience leadership. In this role you manage calendars, schedule meetings, prepare and distribute meeting minutes, coordinate travel arrangements, manage records and documents, prepare presentations, document preparation for arbitrations and meetings, budget preparation and monthly variance reporting.   The Opportunity You work independently displaying a proactive, customer-service approach in anticipating issues and operational needs. You establish and manage administrative procedures and guidelines to ensure effective coordination and timeliness of responsibilities. You effectively manage pressure at times, handle a wide variety of activities and confidential matters with discretion and sensitivity, and ensure a high degree of confidentiality, discretion and professionalism is maintained in the department consistent with BC Ferries standards and values.   What you bring to the team You bring a wide breadth of experience as an administrative professional with a certificate or diploma in Business or Office Administration. You have a minimum of five years’ progressive experience as an Administrative Assistant, and a minimum of 2 years’ experience in a unionized environment.
