The Opportunity

At BC Ferries, our Customer Experience division is at the heart of every journey—shaping how people experience from the moment they arrive at a terminal to the time they disembark at their destination.

We are currently seeking a highly organized and trusted Executive Assistant to provide high-level administrative support to our Vice President, Customer Experience whose portfolio spans multiple frontline business units including terminals, food services, retail, and the customer call centre.

As the Executive Assistant, you will be a strategic partner and trusted right hand to the VP, playing a vital role in ensuring smooth day-to-day operations and supporting executive leadership in a dynamic, fast-paced environment. This is a high-impact position that requires excellent judgment, exceptional communication skills, and the ability to anticipate needs before they arise.

You exercise sound judgment, discretion, and situational awareness to manage sensitive information, coordinate key deliverables, and streamline operational workflows. You serve as a central point of contact for the VP’s office, ensuring clear communication, tracking of priorities, and alignment with corporate objectives. You also support budget oversight, meeting and calendar management, and cross-functional coordination to ensure the VP can lead effectively in a fast-paced and operationally complex environment.

The Role

Reporting to the Vice President, Customer Experience, you add value by key areas of oversight such as:

  • Providing high-level, confidential administrative support to the Vice President, Customer Experience, including handling sensitive information, correspondence, and decisions with discretion;
  • Preparing and coordinating materials for executive meetings, presentations, and strategic discussions, including Board-level content;
  • Managing the VP’s calendar, prioritize meeting requests, and coordinate internal and external engagements across a complex, multi-unit portfolio;
  • Drafting, editing, and compiling briefing notes, presentations, reports, and other communications to support executive visibility and alignment;
  • Planning and organizing meetings, events, and conferences, ensuring logistics, materials, and follow-up actions are in place;
  • Coordinating travel arrangements, itineraries, and expense submissions in accordance with corporate policies;
  • Tracking and monitoring budgets, process purchase orders and invoices, and support variance reporting within the administrative cost centre;
  • Maintaining organized, secure records and filing systems aligned with BC Ferries’ information management standards;
  • Liaising with senior leaders, employees, and external partners to support smooth information flow and action tracking;

 

What you bring to the team

  • A certificate or diploma in Business or Office Administration (or related discipline)
  • A minimum of 7 years’ experience in a senior administrative or executive support role
  • Exceptional judgment, discretion, and attention to detail
  • Strong communication skills and the ability to manage information of a highly confidential and time-sensitive nature
  • Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams, OneDrive) and SharePoint

Additional information

The target salary range: $66,500 - $83,100 per annum. The starting salary is determined based on the successful candidate’s knowledge, experience and internal equity.
