COORDINATOR, SAFETY MANAGEMENT SYSTEM (SMS)

The Opportunity

We’re looking for a Safety Management System (SMS) Coordinator to join our Safety, Health & Security division and provide high-level, efficient, and confidential administrative support to the SMS and Marine Safety Management System Regulations (MSMSR) teams.

 

You play a critical role in providing support to operational teams with access to safety information, reports, communications, and publications, and assist with the currency and quality assurance of the SMS Portal application, its organization and content.

To be a right fit, you are a team player with a high degree of professionalism, who can work with multiple individuals and departments simultaneously, is self-motivated, and can work under pressure within time constraints, while prioritizing and completing tasks appropriately.

 

The Role

Reporting to the Director, Safety Management System, you contribute value through key areas of oversight such as

  • Providing administrative support to the Director, SMS in support of a wide variety of SMS Group functions within the broader Safety division;
  • Providing administrative support to the Safety Managers, specifically SMS Portal administrative tasks and SMS Group training initiatives;
  • Supporting all BCF operational teams with the understanding and effective use of the SMS Portal application and its associated business processes;
  • Completing SMS Portal - library and content page - Quality Assurance and application housekeeping;
  • Completing SMS Portal - look-up list updates - to support the SMS Portal email notification system;
  • Creating libraries and content pages within the SMS Portal application as needed;
  • Performing data entry into the Operations Safety Log (OSL) including generation of tracking numbers for SMS processes;
  • Supporting and training operational OSL Editors (AAs and EAs);
  • Drafting and distributing Safety Flashes through the SMS Portal;
  • Managing the weekly Safety Update articles for each calendar year;
  • Assisting with the development of the annual Safety, Health & Security magazine;
  • Updating content on the SMS Portal application and MSMSR Audit team support pages;
  • Providing administrative support to the MSMSR Lead Auditor in support of the audit process;
  • Entering MSMSR Audit findings into the OSL;
  • Completing MSMSR Audit OSL item updates and closure requests ;
  • Distributing MSMSR Audit Finding reports to appropriate recipients in a timely manner;
  • Providing vessel/terminal operational team support (MSMSR document requests).

 

What you bring to the team

  • Certificate or diploma in Business / Office Administration and Practices or other relevant education
  • Minimum five (5) years of experience as a Coordinator (or similar administrative role)
  • Minimum two (2) years of experience in a Safety or regulatory environment or equivalent
  • High level of proficiency in MS Office suite applications and SharePoint

Additional information

The target salary range: $49,400 - $61,800 per annum.  The starting salary is determined based on the successful candidate’s knowledge, experience and internal equity.
