The Opportunity

We’re looking for a proactive and solutions-focused Facilities Supervisor to lead the day-to-day operations of our Corporate Head Office. In this key role, you’ll ensure the building runs safely, efficiently, and cost-effectively, while also taking the lead on major renovation projects. You play a vital part in supporting our corporate travel program and contribute to the development of strategic initiatives that align with business needs and operational priorities.

 

The Role

Reporting to the Manager, Corporate Services, you add value by key areas of oversight such as:

  • Manages facilities-related services to staff and contractors, as well as follow up actions resulting from risk assessments, building inspections, annual fire drills, security incidents, and ergonomic concerns
  • Planning and the coordination office improvement projects, direct service providers and ensuring disruptions to corporate operations are minimized while reporting and forecasting, highlighting key issues of scope and budget variances;
  • Responding to employee requests by guidance and support on office supplies and equipment purchases while implementing product and process improvements;
  • Reviewing, analyzing and confirming accuracy of quarterly operating expense report from landlord and reconciles with annual billing;
  • Contributing to annual budget preparation, monthly and quarterly variance and forecasting activities; identifies opportunities for savings;
  • Managing relationships with travel management companies to ensure quality service delivery, performance under service contracts, and compliance with BC Ferries' travel and accommodation and business expense policies; facilitates monthly reconciliation of transactions to ensure accurate expense coding;
  • Negotiating corporate rewards and discount programs with travel service providers; liaising with corporate credit card supplier to optimize rebates;
  • Escalating policy compliance issues when necessary; assisting with specific and complex travel arrangements, including after hours when necessary;
  • Preparing monthly executive travel report for review by CEO and CFO; reviewing weekly and monthly activity reports and quarterly business report from travel management companies for trend analysis, return on investment and to identify improvement opportunities;
  • Providing orientation, guidance and informal training to other employees;

 

What you bring to the team

  • Certificate in business program or completion of BC Ferries Career Development Program
  • Project management certificate or equivalent experience
  • 5+ years of experience in facilities management and trades/contractor supervision
  • Experience in budget planning, expense management experience, reconciliations and preparing monthly reports reviewed at an executive level
  • Working knowledge of relevant safety regulations, BC Building Code and safe working practices
  • Working knowledge of interior design and construction trades, and ability to read schematics and drawings
  • Ability to evaluate the performance of contracted work groups and provide feedback or coaching when necessary to ensure safe, efficient and effective results
  • Ability to work under pressure with a high level of self-motivation and initiative, and have effective verbal and written communication skills. You are a team player with a focus on customer service
  • Experience with Global Distribution Systems and virtual payment platforms and reporting
