The Opportunity

Working as part of a large project team, you are a detail oriented individual who is committed to quality. You use sound judgement and awareness while providing confidential administrative support to IT Projects. You are responsible for establishing administrative procedures and guidelines to ensure effective coordination and timelines; coordinate budget allocation, invoicing, purchase orders and accrual and variance reporting.

 

 

The Role

Reporting to the Executive Director, Business Transformation you add value and are energized by key areas of oversight such as:

  • Supporting the Executive Director, Business Transformation and team, in all aspects of the efficient operations of the department
  • Maintaining a current knowledge of divisional programs, mandates, objectives, issues, budgets and methods of service delivery
  • Arranging and attending meetings, preparing agendas, recording minutes and bringing forward pertinent issues and agreements. Conducting follow-up to verify the prompt implementation of agreed-upon courses of action
  • Maintaining/coordinating calendars, scheduling meetings, travel and accommodation
  • Maintaining confidential files, documents, records on Sharepoint or other corporate directories, establishes records management systems in accordance with BC Ferries' retention schedule and policies
  • Providing budgetary assistance by issuing, processing and tracking purchase orders; verifying and processing invoices, liaising with the Finance Department on budget concerns; and verifying, approving and processing all invoices for the administration and contracted routes budgets
  • Creating presentations, spreadsheets, Briefing Notes, Memos, Directive and Bulletins and correspondence as required
  • Performs other duties as assigned

 

What you bring to the team

  • Certificate or Diploma in Business or Office Administration;
  • Project and/or administrative experience in IT;
  • Proven proficiency working with financial budgets and accruals;
  • Knowledge of Microsoft applications such as Word, Excel, PowerPoint, Outlook;
  • Experience with digital document management systems and/or enterprise asset management systems would be an asset.

Additional information

The target salary range: $48,000 - $60,000 per annum.  The starting salary is determined based on the successful candidate’s knowledge, experience and internal equity. Starting salary may exceed the target range on exceptional basis.
