DEPUTY CORPORATE SECRETARY & EXECUTIVE ASSISTANT
This position reports to and is accountable to the General Counsel & Corporate Secretary, and provides a wide range of organizational and administrative support services to the Corporate Affairs Division and Board of Directors. Duties include, but are not limited to, managing calendars, scheduling meetings, meeting minute-taking and distribution, coordinating travel arrangements, managing records and documents, budget preparation and monthly variance reporting. You carry out confidential and sensitive assignments, and manage administrative operations to the Freedom of Information Department, Legal Department and Regulatory Department.
You bring experience as a governance and administrative professional with strong communication and problem-solving skills. You are a self-starter with high initiative and excellent judgement. You perform confidential recording for all Board and Committee meetings, while properly storing and maintaining the documents. You are highly organized and detail-oriented with a customer service approach in anticipating issues and operational needs. You are a proficient and pleasant team player with a demonstrated ability to work with multiple departments simultaneously. You work well independently and under time constraints, and can effectively manage competing priorities.
You bring a wide breadth of experience as a governance and administrative professional with a post-secondary diploma or certificate in the area of business or office administration, and a minimum 5 years’ experience working in a corporate governance environment, including a Board support function. You have advanced skills in Microsoft Office, Adobe and SharePoint, and web-based applications such as Diligent. You are able to communicate professionally to a variety of audiences, have experience in working with a Board of Directors, and act as resource for the Board. Prior experience in an Administrative Assistant role and knowledge of the Freedom of Information and Protection of Privacy Act are considered assets.
